Hartford-Norwich Holiday Basket Helpers (“we,” “us,” or “our”) respects the privacy of everyone who takes part in our holiday gift and winter clothing program, including donors, sponsors, and the families and seniors we serve. This policy explains what information we collect, how we use it, and how we protect it.

Information We Collect
We collect phone numbers, mailing addresses, and email addresses from sponsors, recipient families, referring agencies, and donors who sign up or interact with us through our online form. We may collect mailing addresses and phone numbers for seniors who may be eligible to receive a senior gift. Families may also be asked to share details about requested gifts or clothing (such as sizes or preferences) so sponsors can fulfill their match.

How We Use Your Information
We use the contact information we collect only for the following purposes:
• Sponsors and recipient families: we use email and phone numbers to confirm details of the child gift match, including deadlines, pickup details, and requested sizes or preferences.
• Referring agencies: we use email and phone numbers to confirm referral details.
• Seniors: we use mailing addresses and phone numbers to communicate with seniors who may be eligible to receive a senior gift.
• Donors: we use email, phone numbers, and mailing addresses to confirm receipt of financial donations.

Sponsors and Families Stay Anonymous to Each Other
We communicate with sponsors and families separately, and neither side receives the other’s phone number, email address, mailing address, or other contact information. Sponsors only see the specific gift or clothing details needed to complete their anonymous match.

Information Sharing
We do not sell, rent, or share your contact information with any third party for marketing purposes. Our processing vendors are not permitted to use your information for their own purposes.

Payment Information
If you choose to donate, your payment details (card, Venmo, Apple Pay, Google Pay, or bank account) are handled directly by our vendor and its payment processor. We do not see or store your full payment or card information.

Opting Out
Message and data rates may apply. Message frequency varies based on program activity and deadlines. You can stop receiving texts from us at any time by replying STOP to any message. If you’d like your phone number removed sooner, contact us at info@holidaybasketsvt.org.

Children’s Information
Any information we collect about a child’s gift or clothing request is used only to anonymously match that request with a sponsor. We do not collect phone numbers, email addresses, or other contact information directly from children.
